BBCH Support Services, LLC an Alaska Native-owned holding company, provides shared services across construction, civil, fuels, facility support services, and environmental business lines throughout the United States. We are seeking a full-time Subcontracts Administrator to support the compliance of prime contracts and the administration of subcontracts, including bonds, insurance requirements, and related documentation. The Subcontracts Administrator is responsible for issuing and tracking subcontracts, purchase orders, consulting agreements, and modifications, and maintaining accurate contract documentation. The Subcontracts Administrator will also assist with tracking prime contract information and ensure completeness in our Intacct database. BBCH Support Services, LLC offers a great benefits package complete with medical, dental, and vision insurance, health savings account health reimbursement account, flexible spending account, employer paid life and disability, 401(k) matching, and paid time off along with other essential benefits. This position will report to our office location in Knoxville, TN (Remote option available) Pay Range: $30.00 - $35.00 / hourly
Essential Duties & Responsibilities:
The essential duties and responsibilities are intended to present a descriptive list of the range of duties, but not all duties performed for this position. Other duties may be assigned.

  • Audit subcontract agreement request package for funding and completeness and determine appropriate subcontract templates.
  • Through Sage Intacct, issue and track subcontracts, purchase orders, consulting agreements, and modifications for multiple lines of business
  • With issuance of subcontract agreements request additional required paperwork (bonds, insurance, SF1413’s, etc.)
  • Maintain compliance module (insurance coverage, certified payroll, SF1413’s, etc) within Intacct for subcontract documentation
  • Audit Job Setup Packages for new prime contract awards ensuring accuracy prior to setup in Sage Intacct
  • Request Payment and Performance Bonds and Certificates of Insurance for new prime awards
  • Track prime contract documentation in Intacct database
  • Request Payment and Performance Bonds

Minimum Qualifications:
To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications listed are representative of the knowledge, skill, and/or ability required.

  • 5 years of hands on procurement, purchasing, or contract administration
  • Familiarity with standard contract types (fixed price, Time and Material, Cost Plus) and regulatory frameworks (such as FAR/DFARS for defense and or government work)
  • Federal contract management experience
  • Procurement/subcontracting experience (preferred)
  • Thorough understanding of federal contracting, FAR, and FAR supplemental regulations
  • Excellent organizational, written, and verbal communication skills
  • Proficiency in Microsoft Word, Excel, Outlook and Adobe
  • Experience with Sage Intacct (preferred)

Additional Qualifying Factors:
As a condition of employment, you will be required to pass a pre-employment drug screening (post accepted offer) and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
Necessary Physical Requirements:
The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this position. Essential and marginal functions may require maintaining physical condition necessary for bending, stooping, sitting, walking, or standing for prolonged periods of time; most of time is spent sitting in a comfortable position with frequent opportunity to move about. Work is mostly performed from a sedentary posture. The employee is regularly required to hear, talk, sit, and use hands and fingers to operate a keyboard and phone. The employee may be occasionally required to reach with hands and arms and lift, handle, or move objects weighing up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust vision.
Working Conditions:
The job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily in a modern office setting. Occasional travel may be required.
