Case Coordinator – Remote
The Case Coordinator is responsible for overseeing and coordinating the referral and evaluation process from initial referral through completion. This role serves as an important point of contact for clients, examinees, and medical and behavioral health experts, ensuring cases move efficiently and all parties receive timely communication and documentation.
The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities in a fast-paced, deadline-driven environment. Strong customer service and communication skills are essential.
Starting Pay: $22.00 per hour
Remote Position
At this time, we are unable to consider candidates residing in New York City, Chicago, California, Colorado, or Washington.
Key Responsibilities
- Coordinate the full lifecycle of assigned medical and mental health evaluation referrals
- Complete initial case preparation, referral intake, case creation, and appointment scheduling
- Prepare and submit service estimates and obtain client authorization prior to proceeding
- Communicate regularly with clients, examinees, evaluating professionals, and internal staff regarding case status and scheduling
- Coordinate appointment details and ensure required information is available to evaluating experts
- Collect, organize, and distribute case-related records and documentation
- Monitor cases to help ensure evaluations and reports are completed within established timelines
- Provide completed reports and other required documentation to clients
- Accurately maintain case information using internal case management, telehealth, and record-keeping systems
- Respond professionally and promptly to phone calls, emails, and other inquiries from clients, experts, and internal departments
- Assist other Case Coordinators with workload coverage and case-related tasks as needed
- Participate in administrative initiatives and other departmental projects as assigned
Qualifications
- Bachelor's degreeORat least 3 years of relevant professional experience
- Experience in case coordination, healthcare administration, medical scheduling, customer service, or a related field
- Strong organizational skills with the ability to manage multiple cases and competing deadlines
- Excellent written and verbal communication skills
- Ability to work independently while also collaborating effectively with a remote team
- Strong attention to detail and follow-through
- Comfortable working in a fast-paced environment where priorities may change
- Proficiency with Microsoft Word, Excel, Outlook, PDF applications, and standard computer systems
- Ability and willingness to learn new case management and telehealth platforms
Preferred Qualifications:
- Experience working within the disability, workers' compensation, employer services, insurance, or healthcare industries
- Previous experience coordinating medical, psychological, or mental health evaluations
- Familiarity with medical records, referral management, or healthcare scheduling
