Position Summary

Blackbird Health is expanding rapidly, and we are looking for a highly organized, proactive, and resilient Clinical Operations Specialist to join our Medical Services (MS) or Behavioral Health (BHD) Teams. This role is designed for a system-minded professional who takes pride in  supporting operational excellence. You will directly own the infrastructure of our day-to-day clinical services teams, mastering complex scheduling, architecting solutions for real-time calendar changes, and managing non-clinical patient touchpoints. You aren’t just assisting a team; you are actively supporting the management of the clinical engine that ensures our patients get timely access to care and our providers experience a predictable, sustainable workday.

As a vital link between patients, providers, and leadership, you will manage day-to-day scheduling workflows, own the provider call-out and PTO calendars, handle non-clinical patient requests, and compile data reporting to help our leadership scale. This is a fully non-clinical, high-impact operational support role perfect for a self-starter who thrives in a fast-paced environment and loves building order out of chaos. This is a fully remote role.

What Makes You, You:

  • You are a logistics puzzle master. Managing complex calendars, sudden call-outs, and shifting schedules doesn't stress you out—it energizes you.
  • You possess radical empathy and a calm demeanor. Whether you are answering a busy medication refill line, routing a non-clinical crisis, or handling a patient complaint, you listen deeply and remain completely unflustered.
  • You are fiercely organized. You naturally track deadlines, monitor metrics, update data systems meticulously, and ensure nothing falls through the cracks.
  • You are an analytical helper. You don't just collect data; you enjoy formatting and organizing it into clean, readable reports that make it easy for Directors and VPs to make decisions.
  • You thrive in an environment of autonomy. You enjoy working in flat structures where you report directly to a Director, and you don't need constant hand-holding to solve routine administrative problems.

How You'll Make an Impact:

  • Provider Attendance Ownership: Manage day-to-day scheduling, rescheduling, and PTO tracking. Serve as the central air traffic control for unexpected provider call-outs, ensuring immediate schedule coverage and system adjustments.
  • Patient Advocacy & Issue Intake: Act as the first line of defense for non-clinical patient complaints, logging tracking data, and routing non-clinical crises to appropriate leaders seamlessly.
  • Leadership Extension & Reporting: Free up significant bandwidth for your designated Medical Services Director by coordinating crucial meetings, managing IT requests, updating internal FAQs, and preparing operational reports.
  • System Flexibility: Collaborate closely with your fellow MS Ops teammates to establish seamless shift, function, or specialty coverage as Blackbird’s volume grows.

The Basics You'll Need:

  • Experience: 2–4+ years of experience in healthcare operations, medical scheduling, clinic coordination, or a high-volume virtual operations support environment.
  • Tech Savvy: High comfort level with Electronic Medical Records (EMR) software (Athena preferred), communication tools (Slack/Teams), and spreadsheet/data management.
  • Schedule Flexibility: Ability to support a flexible operational schedule, including evening, weekend, and rotating on-call coverage to ensure our providers and patients are always supported.
  • Communication Skills: Exceptional verbal and written communication skills; ability to navigate sensitive healthcare conversations with professionalism.
  • Background Check: Successful completion of standard healthcare background check and credentialing verification.

Blackbird Health is made up of intelligent, humble, compassionate, and hardworking people. Joining our ranks means you'll have an automatic network to turn to for operational best practices, professional development, and opportunities to share your expertise.
Salary Range
$65,000—$72,000 USD
