Position Summary:
The Senior Communications Analyst – Match Operations leads the planning, development, coordination, delivery, and evaluation of communications that support the accurate and timely execution of NRMP Match activities. Operations communications translate Match processes, policies, system changes, deadlines, and data into clear, actionable information and educational resources for applicants, programs, institutions, medical schools, specialty organizations, and other Match stakeholders.
The role serves as the communications subject matter resource for day-to-day and strategic Match operations needs and is responsible for the lifecycle of operational messaging, from identifying communication needs and audiences through drafting, review, scheduling, publication, maintenance, and evaluation. The position works closely with Match Operations department leadership and all staff to ensure communications are accurate, appropriately timed, consistent across channels, and clear about the actions participants must take.
The Senior Communications Analyst – Match Operations is part of the Communications Department, and the role collaborates closely with the Senior Public Relations Specialist on shared departmental projects, and when requested, while maintaining distinct accountability for Match process, system, deadline, and support communications.

Essential Duties and Responsibilities
Operations Communications Planning and Governance
· Own and maintain an integrated communications plan and calendar for the Main Residency Match and Specialties Matching Service, including Match milestones, deadlines, system events, policy and system updates, and educational campaigns.

  • Partner with Match Operations leadership and all staff to identify needs, define objectives and audiences, determine appropriate channels and timing, and establish review and approval pathways.
  • Develop communications plans for new or changing Match processes, R3 system functionality, and other operational initiatives.· Anticipate risks, dependencies, and constituent questions from Match participants; identify what users need to know, when they need to know it, and what resources will help them take appropriate action.
  • Lead communication planning and response efforts for high-volume and high-visibility Match activities, including Match Week, SOAP, Match Day, and SMS results releases. Develop contingency messaging and coordinate timely messaging related to operational issues, system disruptions, and other time-sensitive matters.
  • Establish and maintain standards, templates, workflows, and process documentation governing day-to-day Match communications with Match participants, including quality control, version management, approvals, scheduling, and publication.
  • Develop goals and practical measures for assessing the reach, clarity, timeliness, and effectiveness of outreach efforts; use available feedback and performance data to recommend and implement improvements.
  • Work with Match operations team to review and prepare day-to-day email messaging across all Matches:
  • Prepare new or update existing email content for Main Residency Match and Fellowship Matches
  • Assist the Match Operations leadership with day-to-day email messaging to users about the Match process.
  • Write, set-up, schedule and serve as a reviewer for operations messaging.
  • Ensure accuracy and consistency of formatting; make recommendations to management for consideration

Match Education and Content Management
· Develop and maintain web content that helps users understand and navigate Match registration, ranking, results, and related processes.
· · Create and update checklists, support guides, FAQs, presentations, webinar materials, scripts, videos, infographics, visual learning aids, and other resources for Match audiences.

  • Lead periodic reviews of Match Operations content to identify outdated, duplicative, inconsistent, or unclear information and coordinate revisions with subject matter experts.
  • Ensure Match Operations website content and documents remain current, accurate, accessible, and aligned across channels; publish approved website updates and verify links and related resources.
  • Collaborate with other departments on organizational content needs and ensure Match Operations information is accurately represented across NRMP communications channels.

Social Media and Audience Engagement
· Develop channel-appropriate content that informs and educates audiences about Match activities, deadlines, requirements, available resources, process, and outcomes. Develop graphics, multimedia, FAQs, and other materials to support online posts related to Match operations.

  • Coordinate with the Senior Public Relations Specialist on the organization’s social media calendar and online presence. Lead content creation related to Match processes, operational milestones, participant actions, and education.
  • Monitor questions and recurring areas of confusion related to Match Operations; recommend clarifying content, targeted outreach, or resource updates.
  • Prepare accurate and timely responses to operational questions received through public channels and facilitate accurate responses to media inquiries related to Match operations by coordinating with appropriate subject matter experts.
  • Monitor and track social media tags, keywords, handles, and issues pertaining to Match operations activities and initiatives.
  • Establish and continually monitor the framework, policies, and key process documentation for social media practices.
  • Lead creation and distribution of the Illuminator newsletters.
  • Create content that highlights NRMP initiatives, and important topics within GME to promote understanding and support of NRMP mission, purpose, and strategic priorities for Match related content.

Content Design and Production

  • Collaborate with and manage vendors and internal partner relationships, as assigned, on content management (WordPress) system updates, multimedia production, analytics tracking, project work, and communications technology needs.
  • Create clear, accessible visual content and infographics that explain Match processes, timelines, requirements, and data.
  • Use established brand standards and templates to produce or coordinate production of digital and print materials.

General Communications Projects
· Jointly develop, maintain, and execute a comprehensive departmental communications plan that aligns with organizational priorities. Create detailed project‑level communications plans to ensure clear messaging, coordinated timing, and effective internal department and external stakeholder engagement across initiatives.

  • Partner with the Senior Public Relations Specialist to design and disseminate customized messages and multimedia materials segmented by audiences to ensure relevant information is communicated to audiences at the right time through NRMP communications channels; including but not limited to, website content, newsletters, emails, blog posts, talking points, presentations, speeches, webinars, factsheets, infographics, reports, data visualizations, videos, brochures, and exhibit materials.
  • Provide operational, policy, process, and Match subject matter expertise to the Senior Public Relations Specialist for press releases and public-facing announcements and review content for accuracy.
  • Maintain and contribute to NRMP’s editorial standards and style guidelines, templates, and coordinated calendars to support consistent, timely communications across the organization.
  • Provide support for Communications Department initiatives and deliverables outside of primary areas of responsibility, as needed to meet organizational priorities.
  • Draft and update process documents for the Communications department

Minimum Qualifications, Knowledge, and Skills

  • Bachelor’s degree in communications, marketing, public relations, journalism, or a related field required.
  • 5 or more years of communications, content strategy, marketing, or related experience required.
  • Demonstrated experience translating complex policies, processes, technical information, system requirements, or data into clear, user-friendly, actionable communications, and educational resources for varied audiences.
  • Experience planning and executing multi-channel communications campaigns with multiple deadlines, reviewers, dependencies, and stakeholder groups.
  • Exceptional writing, editing, proofreading, verbal communication, and interpersonal skills, with strong attention to detail and accuracy.
  • Experience with email marketing or communications platforms, content management systems, social media management tools, and web publishing. WordPress, Constant Contact, and Hootsuite experience preferred.
  • Experience creating presentations, infographics, and digital content using Canva or comparable design software.
  • Ability to exercise sound judgment; manage sensitive, high-impact, and time-critical communications; and distinguish operational questions from reputational issues requiring escalation.
  • Strong project management, organization, analytical, and problem-solving skills, including the ability to manage concurrent priorities and meet deadlines in a remote work environment.
  • Ability to build collaborative relationships and coordinate work across departments while maintaining clear ownership, review, and approval responsibilities.

Preferred Qualifications

  • Experience with healthcare, association, nonprofit, education, or other regulated or process-intensive environment.
  • Knowledge of the Match and graduate medical education.
  • Experience interpreting data for non-research audiences and using communications analytics or audience feedback to improve content.

ADA Specifications
This position is primarily remote and sedentary; however, this position will be expected to attend meetings in the Washington, DC headquarters or other locations with sufficient notice and as directed by the CEO. There may be occasional overnight travel and duties may require some bending and lifting.
