About the Role
We are a growing alcohol and beverage business looking for a highly organised and proactive Executive Assistant & Lead Generation Specialist to support the founder. This is a broad support role combining lead generation, sales outreach, CRM management, follow-up, research, data entry, and executive assistance.
The ideal candidate will become an extension of the founder over time — helping organise opportunities, keep prospective customers moving through the pipeline, identify new hospitality and retail prospects, and take recurring administrative work off the founder's plate. The role will initially be part-time, with the potential to increase in hours as the candidate becomes more familiar with the business and takes on additional responsibilities.
Work Structure & Requirements
- Location: Remote / Virtual
- Schedule: Part-time (10 hours per week)
- Time Zone: EST business hours
- Compensation: $7 USD per hour
Key Responsibilities
1. Lead Generation & Prospect Research
- Research and identify relevant hospitality groups, restaurant groups, bars, distributors, retailers, and other potential customers
- Identify the appropriate decision-makers and stakeholders within target organisations
- Build accurate prospect lists containing names, job titles, email addresses, phone numbers, and company information
- Research the largest and most relevant operators within target markets
- Maintain organised prospect databases and continuously identify new sales opportunities
2. Sales Outreach & Follow-Up
- Conduct outbound email outreach to prospective customers using messaging and positioning provided by the founder
- Manage ongoing follow-up sequences and ensure opportunities do not fall through the cracks
- Follow up consistently with prospects who have expressed interest or require additional information
- Help turn business cards, introductions, referrals, and existing contacts into organised sales opportunities
- Escalate warm or qualified opportunities to the founder when appropriate
- Maintain detailed notes on conversations, next steps, and follow-up dates
3. CRM & Pipeline Management
- Enter and organise leads within the company CRM or sales tracking system
- Keep contact information, opportunity stages, notes, and follow-up activities accurate and up to date
- Track outstanding actions across prospective customers and partnerships
- Create simple reports or summaries of outreach activity, responses, and opportunities
- Help establish stronger processes for organising the company's growing sales pipeline
4. Executive & Administrative Support
- Provide day-to-day administrative support to the founder
- Organise information, documents, contacts, and outstanding tasks
- Assist with follow-ups arising from meetings, events, networking, and customer conversations
- Help document recurring processes and gradually take ownership of repeatable administrative tasks
- Support ad hoc research and operational projects as required
5. Data Entry & Compliance Administration
- Assist with recurring data-entry and administrative requirements across different state or government systems
- Enter information into relevant portals accurately and according to documented processes
- Learn recurring workflows directly from the founder through recorded or live training sessions
- Document processes and create simple SOPs so tasks can be completed independently in future
- Double-check calculations and information before submission and obtain approval where required
- Maintain accurate records of completed submissions and outstanding requirements
Required Skills & Experience
- Experience: 3+ years in Executive Assistance, Lead Generation, Sales Support, Business Development Support, or a similar role
- Industry: Previous experience within alcohol, beverages, CPG, hospitality, food & beverage, or a related industry is strongly preferred
- Lead Generation: Strong lead-generation and online research capabilities; experience identifying decision-makers and sourcing accurate contact information
- Outreach: Comfortable conducting professional cold email outreach and persistent follow-up
- CRM: Strong CRM, spreadsheet, and data-entry skills
- Compliance: Exceptional attention to detail when handling financial, regulatory, or compliance-related information
- Communication: Excellent written and spoken English
- Profile: Highly organised, proactive, able to manage multiple priorities simultaneously, comfortable working independently, and able to identify tasks that can be taken off the founder's plate; comfortable learning new software, portals, and internal processes
