你将负责
- 负责标准化的采购申请流程,确保请求包含必要的细节(范围/规格、价格、服务期限、业务理由、审批及适用的编码)
- 在做出承诺前验证并路由请求;退回不完整的提交,并根据政策升级异常情况
- 在指定的采购/ERP系统中创建、发布和维护采购订单(PO),确保供应商信息、价格、数量、条款和所需的补充文件准确无误
- 跟踪采购订单的执行状态——包括缺货、发货/交货时间、变更请求和取消——并主动向协作人员沟通影响
- 处理与订购、交货问题、采购订单/发票差异和问题解决相关的日常供应商协调工作;必要时向采购主管汇报风险或延迟
- 维护采购文档和记录(报价、审批、采购订单历史和收货证据),以支持审计准备和报告
- 参与功能项目、流程改进和职业发展活动,根据机会参与
- 完成其他分配的任务,以支持学院的影响和采购职能

Job Summary
The Specialist III, Procurement keeps Nightingale's purchasing engine running — turning requests into accurate, compliant purchase orders and making sure vendors, Finance, and Collaborators across the College stay in sync every step of the way. This is a role built on precision and follow-through: when procurement runs smoothly, our campuses, classrooms, and learner-facing teams get what they need, exactly when they need it, so the real work of educating and elevating our Learners never skips a beat.
About the Role
As the operational backbone of the procurement process, you'll own the intake-to-issuance journey for every purchase request — validating details, routing approvals, and creating purchase orders in our procurement/ERP system with accuracy that holds up under audit. You'll be the steady point of coordination between internal Collaborators, vendors, and Finance, tracking every PO through fulfillment and proactively flagging anything that could affect delivery. This role rewards someone who takes ownership seriously, communicates transparently when things shift, and is always looking for a better way to get it done.
What You'll Do
- Own the standardized procurement intake process, ensuring requests include required details (scope/specifications, pricing, service period, business justification, approvals, and coding as applicable)
- Validate and route requests before commitments are made; return incomplete submissions and escalate exceptions per policy
- Create, issue, and maintain purchase orders (POs) in the designated procurement/ERP system, ensuring accuracy of vendor details, pricing, quantities, terms, and required supporting documentation
- Track PO status through fulfillment — including backorders, shipment/delivery timing, change requests, and cancellations — and proactively communicate impacts to Collaborators
- Perform day-to-day vendor coordination related to ordering, delivery questions, PO/invoice discrepancies, and issue resolution; escalate risks or delays to Procurement leadership as needed
- Maintain purchasing documentation and records (quotes, approvals, PO history, and receiving evidence) to support audit readiness and reporting
- Participate in functional projects, process improvements, and professional development activities as opportunities arise
- Perform other duties as assigned in support of the College's Impact and the Procurement Function
What You Bring
Required:
- 4-year degree from an accredited institution or equivalent relevant experience.
- Demonstrated experience providing customer service to multiple stakeholders.
- Demonstrated proficiency in inventory management.
- Demonstrated proficiency in distribution coordination.
- Demonstrated proficiency in professional, written communication.
- Demonstrated experience with Microsoft Outlook and SharePoint.
Preferred:
- Experience with Sage or similar ERP/procurement platform.

Budgeted Hiring Range
$80,000—$88,000 USD
All new hires are required to attend New Collaborator Orientation (NCO) in Salt Lake City, Utah. The College will cover travel, lodging, and other accommodations.
